For independent used car dealers

A follow-up plan
for a busy lot.

Every open lead needs someone responsible and a clear next step. Use this daily check to keep buyers moving while you handle the people in front of you.

Before the lot gets busy

  1. Answer open questions. Start with buyers waiting on a fact, a callback or a promised update.
  2. Check today’s visits. Know which car each buyer asked about and what still needs answering.
  3. Review follow-up due today. Give each buyer a named owner and a useful reason to hear from you.
  4. Record what happens next. Set a specific next action and time, or record why contact should stop.

The first reply

Answer what they actually asked.

A buyer asks whether an SUV has all-wheel drive. Answer from the vehicle record before asking when they can visit. If the fact is missing, assign someone to check it.

Ask for the next detail that helps you help them. What vehicle do they need? When are they looking to buy? Keep the conversation relevant to their answer.

Write down the car, the unanswered question, who owns the follow-up and the next contact time. A spreadsheet works if someone keeps it current.

The next message

Follow up on their situation.

These are fictional examples. Check the facts and use your dealership’s approved contact rules before sending.

Timing and control

Agree on the next contact.

Use the time the buyer gives you. A request to talk next week should change the next step. A request to stop should stop contact.

Review quiet leads during your daily check instead of putting every buyer through the same repeated messages. Follow your dealership’s consent, opt-out and contact-hour rules.

When a staff member takes over, make sure any automated replies and scheduled follow-up are paused. Check what was agreed before handing the conversation back.

A weekly check

Look for the work being missed.

Review ten recent inquiries. Count how many had an unanswered question, no named owner or no recorded next step. Then look at visits booked, visits attended and sales.

Message volume alone won’t tell you whether follow-up is helping. Keep the same measures each week so you can see what changed.
